Overall Objective/Purpose
  • Provide an effective HR administration service to managers and colleagues, as directed by the HR Shared Services Manager. This covers Head Office and UK manufacturing sites.  Occasional support may be provided to Princes international sites, as requested.
  • Actively supporting the HR function with projects and change initiatives as directed. Providing key data and MI reports as required.

Dimensions
  • Approximately 2,500 UK colleagues.

Principal Accountabilities
  • Support the effective operation of all HR administration throughout the full employee lifecycle including: sending new starter packs and providing a positive pre-boarding experience, timely processing of changes to existing employment contracts including promotion/salary changes, flexible working requests, maternity/paternity, secondments, calculating holiday entitlements, processing terminations etc.
  • Accurately input, update and maintain all employee data on the HR system.  Act as HR system ‘super user’ in accordance with internal controls. 
  • Manage the paper based and electronic personnel files for current and past employees, ensuring full compliance with GDPR. 
  • Ensure all transactions are completed accurately and in accordance with departmental SLAs and payroll cut-off dates for both weekly and monthly paid employees.
  • Produce and distribute correspondence related to annual salary review, incentive and recognition payments, plus other ad hoc requests.
  • Answer queries, provide training, build custom reports and produce updated documentation for other HR colleagues on the HR System.
  • Understand and ensure full implementation of the Princes policies and procedures.
  • Provide timely and professional responses to queries and issues raised by colleagues and managers either face to face, by phone or through the Shared Services mailbox.
  • Provide administration assistance as required in purchasing arrangements, including the receipt of goods, processing orders and invoices within SAP system.
  • Produce and analyse regular and ad hoc reports for internal and external distribution
  • Act as an emPerform super user ensuring all emPerform eligible colleague records are kept up to date. 
  • Maintain relevant ER awareness by keeping self updated on upcoming employment law changes such as GDPR, Statutory Maternity Pay, National Minimum Wage and how this will impact on current processes.
  • Coordinate the holiday carry over and flexible holiday annual procedures, ensuring that the app is updated with these changes and Payroll is provided with accurate information
  • Produce monthly headcount report by gathering all relevant employee data from the HR system and via site HR.   Collate all data and verify accuracy via totals reconciliation
  • Produce and distribute monthly organisational charts and respond to ad- hoc requests. 
  • Work collaboratively with the wider HR function to ensure consistency in service and standards
  • Deputise for Shared Services Manager in their absence.

Continuous Improvement
  • Locate and define new process improvement opportunities using appropriate tools available i.e. excel.  Provide relevant process guides for cross-training purposes.
  • Provide training support to the functional areas where required 
  • Partner with HR Business Partner(s) to provide a seamless service to  specialist business area(s)
Knowledge 
  • Previous HR administration experience, preferably in a Shared Services environment.
  • Experience using computerised HR system.
